Position Overview
We’re looking for a Senior Administrative Assistant to join us to support Business Leaders guiding Technology and Product Teams. In this role, you will focus on calendar management, travel coordination, event coordination, and expense management to ensure seamless operations. You will receive guidance from our Senior Executive Assistant to ensure alignment across administrative functions supporting Technology and Product Teams.
What You’ll Do
- Manage complex executive calendars, prioritize meetings, and resolve scheduling conflicts by applying knowledge of leadership priorities across multiple projects
- Anticipate scheduling needs and proactively coordinate adjustments to align with evolving business priorities
- Organize and coordinate end-to-end travel logistics including flights, accommodations, and itineraries in partnership with our Senior Executive Assistant
- Identify key issues and recommend solutions when travel plans are disrupted or conflicting information arises
- Coordinate team events, including virtual Town Halls and onsite/offsite meetings hosted by the Technology Leadership Team and/or the Product Leadership Team
- Lead planning for event logistics, ensuring timely coordination of vendors, materials, and communications
- Manage expense reports and provide accurate, timely updates for leadership
- Identify opportunities to improve administrative processes and share best practices with colleagues
- Partner with the Senior Executive Assistant and administrative colleagues to ensure seamless support across leadership teams
- Provide backup support for the Senior Executive Assistant when needed
What We’re Looking For

- 3+ Years of Administrative Experience supporting business leaders by coordinating schedules and maintaining expense reporting to provide accurate and timely updates
- Calendar & Scheduling Skills: Excellent calendar management skills, including the coordination of complex executive meetings across time zones
- Organizational Skills: Exceptional organizational skills with attention to detail and the ability to manage multiple assignments of moderate complexity
- Problem Solving Abilities: Proven ability to identify key issues early to then resolve scheduling, travel, or logistical challenges with limited supervision
- Communication Skills: Excellent verbal and written communication skills with the ability to adapt communications to address various needs
- Professionalism & Confidentiality: High level of professionalism and ability to handle confidential information with discretion
- Technology: Working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook; experience with Slack and Zoom for internal communications
Compensation Transparency
Our targeted starting base salary in the United States for this position ranges from USD 55K -USD 65K.
