Inclusively is partnering with a multinational communications, advertising, public relations, technology, and commerce holding company to hire a HR Coordinator. **Please note: this role is NOT an internal position with Inclusively but with the partner company.**

We are experiencing exciting growth and our HR team based in Dallas is seeking an HR Coordinator to join them.

You will interact with employees at all stages of their careers. From sending a new starter their job contract to responding to queries from current employees, and partnering with multiple stakeholders making sure new starters have all they need on their first day – your efforts will be crucial to ensuring our employees feel welcomed and valued.

What you'll be doing:

  • Working with colleagues locally, support and drive consistency with processes and data capture
  • Ensure the HR database is up to date, ensuring joiners, movers and leavers are 100% accurate
  • Ensure headcount reports are accurate and provide timely standard reports
  • Respond to employee queries coming into the central mailbox in a timely manner and escalate where appropriate
  • Coordinate with local, internal teams to ensure a best-in-class onboarding process for new joiners
  • Provide basic HR advice and support to employees, explaining procedures and policies and escalating appropriately where needed to the HR Business Partners
  • Working with local team members, produce and send letters as required, for example confirmation of maternity leave, contract amendments and flexible working
  • Administer the probationary review time periods and send reminders to line managers.
  • Support ad-hoc projects as and when requested by the HR team
  • Provide support to US-based HR team
  • Partner with HR Ops team in both the US and UK, mostly supporting and working with the US
  • Provide support for Workday testing and facilitate the smooth transition from Talent Tree to Workday
  • Identify areas for improvement with our current processes.

Who you'll be working with:

The HR Coordinator will report to the People Operations Manager and liaise with HR Operations colleagues around the globe.

What you'll need:

  • English speaking and writing skills required, Spanish speaking and writing skills highly desired
  • Previous HR Administrative experience via internships or another entry-level HR role is highly desired
  • Discretion and ability to handle confidential matters
  • Experience of using a HR system
  • General understanding of payroll processes /or willingness to learn
  • Understanding of both employment law in Dallas and the US
  • Strong administrative & organizational skills
  • Solid PC skills MS Office suite
  • Professional communication skills (written and verbal)
  • Ability to prioritize tasks, work at pace and work to a tight deadline
  • Strong team working and relationship-building skills
  • Strong attention to detail and a high degree of accuracy
  • Ability to use own initiative and attention to detail
  • Excellent multi-tasking ability
  • Ability to adapt quickly to change and cope well with ambiguity
  • Prior exposure to international efforts is not at all required, but a major plus
