About The Role

Our Client is a family law firm seeking a highly organized and proactive Legal Assistant to support attorney. This is an in-person position ideal for a personable, detail-oriented professional with experience in legal administration who thrives in a fast-paced, client-focused office environment. You will be the organizational backbone of the practice, ensuring seamless day-to-day operations, from scheduling and client communication to document preparation, while serving as a welcoming presence for clients and visitors to the firm.

Key Responsibilities

Legal Administration

  • Maintain case files and ensure accurate, up-to-date records in the firm’s practice management system
  • Track deadlines, court dates, and filing requirements
  • Organize and manage attorney workload, flagging urgent matters
  • Assist with legal research and summarizing findings as directed

Scheduling & Calendar Management

  • Manage Jay’s calendar, including appointments, consultations, hearings, and internal meetings
  • Schedule client calls and send confirmation and reminder communications
  • Coordinate with clients, courts, and opposing counsel to schedule meetings
  • Proactively resolve scheduling conflicts and communicate changes promptly

Document Preparation

  • Draft, format, and proofread legal documents, correspondence, and pleadings under attorney supervision
  • Prepare engagement letters, retainer agreements, and standard firm templates
  • Organize and maintain digital document filing systems
  • Assist with e-filing and document service as needed

Client Intake

  • Conduct initial client intake in person, by phone, or by email, gathering relevant case information
  • Enter client data accurately into the firm’s practice management system (8am MyCase)
  • Prepare intake summaries and case opening documents for attorney review
  • Follow up with prospective clients to schedule consultations

Email & Communications

  • Monitor and manage Jay’s inbox, triaging and prioritizing incoming messages
  • Draft professional responses to client and opposing counsel inquiries for attorney review
  • Ensure timely responses to client communications and flag urgent matters
  • Maintain a professional, empathetic tone in all written communications

Qualifications

Required

  • Excellent written and spoken English communication skills
  • Strong organizational skills and ability to manage multiple priorities
  • Proficiency with email platforms and calendar tools
  • Ability to commute reliably to the firm’s office and maintain consistent in-office attendance during business hours

Preferred

  • 2+ years of experience in legal administration, paralegal work, or a similar role
  • Prior experience supporting a solo or small law firm
  • Experience with practice management software (MyCase)
  • Familiarity with family law terminology and procedures
  • Experience with document management and e-filing systems
  • Paralegal certificate or legal studies background
