Our Customer is an American financial services mutual organization based in Milwaukee. The financial security company provides consultation on wealth and asset income protection, education planning, retirement planning, investment advisory services, financial planning trust and private client services, estate planning and business planning. Its products include life insurance, permanent life insurance, disability income, and long-term care insurance; annuities; investments; and investment advisory products and services.

Our customer is looking for a Project Administrative Assistant on a contract basis to help support their business needs. This role is on-site in Milwaukee, WI.

Schedule: Monday-Friday 7:30 am-3:30 pm

Responsibilities

  • Support program execution by tracking attendance, updating documentation on roles and processes, and providing on-site support
  • Prepare PowerPoint presentations, capture meeting notes, and track and document tasks and action items
  • Organize and support large meetings and conferences, including logistics and on-site setup
  • Provide full-spectrum project support, ranging from clerical tasks such as meeting scheduling to higher-level project management and budget support
  • Develop tools to streamline project management processes, including templates, budgeting tools, and deliverable checklists
  • Write, edit, and maintain project documentation such as scope definitions, risk assessments, requirements definitions, and requests for proposals
  • Define, document, and update project management processes and research project-related issues
  • Manage change control processes and defect tracking when applicable
  • Prioritize incoming requests, align needs with appropriate resources, and independently resolve requests outside established guidelines
  • Deliver high-quality customer service to internal and external stakeholders to ensure a positive experience
  • Coordinate event requirements with catering, facilities, AV, and security teams
  • Ensure client requirements align with space availability and coordinate adjustments as needed
  • Respond to customer requests via email, phone, or in-person meetings and follow up to ensure resolution
  • Utilize event reservation systems to book, track, and manage events, including room signage
  • Distribute Banquet Event Orders (BEOs) to clients and internal support teams to coordinate event details
  • Collaborate with stakeholders to update and improve processes

Skills And Qualifications

  • Minimum of 5 years of experience in project coordination or project management roles
  • Strong proficiency in Excel with the ability to produce light reporting
  • Experience creating and managing PowerPoint presentations and project documentation
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Strong customer service orientation with the ability to build rapport with stakeholders
  • Detail-oriented and able to work independently and resolve issues proactively
  • Experience supporting budgets and tracking project-related expenses
  • Critical time management skills

Preferred

  • Experience working within formal project management frameworks
  • Experience supporting large-scale meetings, events, or conferences
